At the UCHC, this class is accountable for independently providing administrative management and/or advanced technical program support for an academic/clinical/administrative department or prog! ram. This position supports Internal Medicine (UCHP East & West Hartford, IMA, and the hospitalists) in addition to the Division Chief and the Administrator of Medicine.

SUPERVISION RECEIVED:
Works under the limited supervision of an employee of a higher rank.

SUPERVISION EXERCISED:
May lead/supervise lower level employees as assigned.

MINIMUM QUALIFICATIONS: Considerable knowledge of office systems and procedures including MS Office. Excellent working knowledge of Word, Excel (or Access) and Powerpoint required. Ability to create databases and spreadsheets to be used for divisional accounts and for periodic reporting purposes. Considerable knowledge of proper grammar, punctuation and spelling with the ability to compose moderately complex letters and correspondence. Knowledge of Banner and Health Center policies and procedures. oral and written communications skills; considerable interpersonal skills; some supervisory! ability. Ability to set priorities and to follow through for ! task completion.

EXPERIENCE AND TRAINING:
General Experience:
Six (6) years relevant administrative experience. Superior computer skills in Microsoft applications including Word, Excel, Outlook and PowerPoint.

Substitutions Allowed:
Bachelor's degree and two (2) years of relevant experience may be substituted to the general experience

PREFERRED EXPERIENCE: Experience preparing extramural grant applications and contracts; experience with preparation of budgets; Experience with the development and maintenance of a website. Working knowledge of CME procedures; experience with account and grants management.

EXAMPLES OF DUTIES:
Office Management:
Provide administrative support for the Chief of the General Internal Medicine Division and 40 general internists and hospitalists located at UCHC, Dowling South and satellite offices in West Hartford and East Hartford. Assist the Division C! hief with the overall coordination of recruitment of general internist and hospitalist positions including PTR, HR procedures, interview set up and credentialing process. Create and coordinate complex daily call schedule for physician coverage. Upload and update call schedule to Sharepoint for hospitalists. Provide administrative coordination for the educational seminars including responsibility for CME related requirements, travel arrangements, travel authorizations and travel reimbursements for guest speakers and participants.

Interpersonal:
Resolves administrative and logistical problems and transactions. Coordination and management of website for all IMA/Gen Med/UCHP physicians involving influencial interpersonal skills to update information on a continuous basis. Brochure/newsletter creation involving interpersonal contact of potential authors of articles.

Fiscal:
Management of divisional accounts including quarterly reconciliati! on and reporting utilizing Banner INB Grants Management and INB Grant B! illing. On-line ordering (Husky Buy/Warehouse) and processing routine financial documentation using State and agency required forms. Pre and post award management of grants and contracts for Internal Medicine Division Chief and faculty.

Performs related duties as required.

SCHEDULE: 40 hour work week, Monday through Friday, 8:30am - 5pm, 30 minute unpaid meal break.

FULL TIME EQUIVALENT MINIMUM SALARY: $56,454
